Privacy Policy

Rise Rooted works on the basis that confidentiality is a foundation of successful coaching.

I work with Clients who regularly talk about sensitive, highly confidential topics and it is my absolute priority to ensure confidentiality is maintained and the Client has a space that feels safe to explore and share honestly, without fear of information being leaked or shared formally or informally. This means I will not share personal information or session specific information with anybody other than what is set out below, guided by the ICF Code of Ethics.

The coaching relationship, as well as all information (documented or verbal) that the Client shares with Rise Rooted as part of this relationship, is bound by the principles of confidentiality set forth in the ICF Code of Ethics. However, please be aware that the Coach-Client relationship is not considered a legally confidential relationship (like the medical and legal professions) and thus communications are not subject to the protection of any legally recognized privilege. Rise Rooted agrees not to disclose any information pertaining to the Client without the Client’s written consent. The Coach will not disclose the Client’s name as a reference without the Client’s consent. 

Confidential Information does not include information that: (a) was in the Coach’s possession prior to its being furnished by the Client; (b) is generally known to the public or in the Client’s industry; (c) is obtained by the Coach from a third party, without breach of any obligation to the Client; (d) is independently developed by the Coach without use of or reference to the Client’s confidential information; or (e) the Coach is required by law to share; (f) is disclosed to the Coach and as a result of such disclosure the Coach reasonably believes there to be an imminent or likely risk of danger or harm to the Client or others; and (g) involves illegal activity. The Client also acknowledges his or her continuing obligation to raise any confidentiality questions or concerns with the Coach in a timely manner. 

Release of confidential information:

Rise Rooted follows these guidelines, based on the ICF Code of Ethics with regard to sharing information and this is included in the written coaching agreement with each client.

• Reporting client information for credentialing. When reporting data regarding coaching hours and client demographics, Rise Rooted submits aggregated numbers that are not linked to specific clients. An exception may occur if, due to auditing, the ICF requires the names, contact information, and start and end dates for client relationships when verifying my eligibility for credentialing. However, no personal or coaching session information is shared.
• Recording coaching sessions for training. Rise Rooted may ask a Client to record a coaching session for training and development purposes, preserving the client’s anonymity. Before sharing any session recordings with a coaching mentor, supervisor, or assessor, Rise Rooted will request the client’s consent. The client may request and receive a copy of any of session recordings.
• Sharing thematically for learning and devolpment. According to the ethics of the coaching profession, coaches may anonymously or hypothetically share topics from coaching sessions with other coaching professionals for training, supervision, mentoring, evaluation, and professional development.

All data is transferred securely and held by ICF under a combination of software and hardware controls.

The lawful basis on which I use this information

Rise Rooted collects and processes client information in order to meet the legal requirement set out in the General Data Protection Regulation (GDPR) and UK law and ICF requirements towards Coaching Accreditation.

In accordance with the GDPR and UK Law, Rise Rooted does not store personal data indefinitely; data is only stored for as long as is necessary to complete the task for which it was originally collected.

Requesting access to your personal data

Under data protection legislation, clients have the right to request access to information about them that I hold and how I use it. To make a request for your personal information, or be given access to your educational record, contact hello@riserooted.co.uk

Your enquiry will be dealt with as soon as possible and will not take more than 40 days to process. 

You also have the right to: 

• object to processing of personal data that is likely to cause, or is causing, damage or distress 
• prevent processing for the purpose of direct marketing 
• object to decisions being taken by automated means 
• in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and 
• claim compensation for damages caused by a breach of the Data Protection regulations 

Where the processing of your data is based on your consent, you have the right to withdraw this consent at any time.

Notification of changes to the Privacy Notice

Rise Rooted reserves the right to change the Privacy Notice from time to time. I encourage all users to be responsible about their privacy and recommend that you consult this notice frequently so that you are aware of our latest policy and can update your preferences if necessary.
